Free Grassroots Club Budgeter

We know that balancing the books as a grassroots club can be difficult. Especially if you’re not a chartered accountant and/or a whizz on Microsoft Excel.

And when budgets are as tight as they are in grassroots sport, every penny counts.

That’s why, with the help of our friends at Kitlocker Juniors FC, we’ve put together a free downloadable Excel sheet which can be used as a template for your club to get you started. Scroll to the bottom of the page and click the link to download.

Here are a few of the key terms to help you get your head around how to fill it in 👇

  • Income – here list everything that the club brings in; subs, sponsorship, fundraising. Make sure that you include what you earn in the right month. That’s important for cash flow and so that you can pay the bills when they arrive.
  • Expenditure – here list everything that you have to pay out; pitch hire, league affiliations, ref fees, fines. Again, make sure that you include the costs for the months that they relate to.
  • Surplus/Deficit Month – this calculates what cash you have left at the end of each month once you have paid your bills. Don’t worry if this shows that you spend more than you earn for a few months. It’s likely that for some months you have lots more income than expenditure, and for others more expenditure than income. What’s important is that you always have a positive ‘Carried Forward’ amount.
  • Brought and Carried Forward – we want this figure to always be positive, so we are sure you have enough cash in the club. Over the year this should steadily increase so that you have a positive balance when the season ends. You can use that to start things off for the next season.
  • Top Tip – try and manage your subscriptions so that they are paid on the 1st of each month. This should mean that you always have some cash in your club to pay the bills.
  • Top Tip 2 – if you can manage your budget so that there is a surplus each year, you can splash out on new equipment, new kit and even support your coaches to get new qualifications.
